FAQs
Common questions
Short answers about how Advance Roster works for in-charges and staff.
Is it free?
Yes. Advance Roster is free to use for health units.
How long does it take to get an account?
Verify your email with the link we send you. New accounts are then approved within 24 hours, and you get an email when yours is ready.
Who can see my roster?
You, any other in-charges of your unit, and anyone you give the roster link to. The link is long and hard to guess. It shows names, ranks and shifts, not phone numbers. You can replace the link at any time, which stops the old one working. Staff who log in see only their own calendar.
Does it work on a small phone?
Yes. The staff pages are made for phones and open in the normal browser. There is no app to install.
Can I still change the roster after auto-scheduling?
Yes. Change any cell by hand and the roster warns you if the change breaks one of your rules. A published roster is locked until you unlock it, and changes are recorded in its history.
How are rest days after night duty handled?
You set the rules for your own unit, for example four nights followed by four days off. The auto-scheduler follows them, and also gives rest days after a run of day duties.
How do staff log in?
With their phone number and a PIN they choose. The first time, they confirm who they are with the 6-digit code from their in-charge, or their Staff ID.
Can I print or download the roster?
Yes. You can print it straight from the page, or download it as a PDF or an Excel sheet. Staff who log in can download their own month as a PDF.
How do leave and shift swaps work?
Staff open the unit's roster link and send a leave or swap request. Nothing changes until you approve it; once you do, the roster shows the change.
Can more than one in-charge manage a unit?
Yes. Ask your colleague to register, then add them to the unit with their email address. You can remove them again at any time.
